When you start your wedding planning business you need to set up your business phone. You want to appear professional when potential clients call and you want to be accessible to your brides.

Here are 3 tips for a professional phone presence:

1) Have a telephone number that is dedicated to your business

The phone number which you use for your business should be a landline that is not used for your personal life. You, or your assistant, when you have one, should be the only ones who answer your phone, not someone in your family. It should also have voice mail with a professional greeting which clearly states your business name so potential clients know they have reached the right number.

2) Use your cell phone wisely

You do need a cell phone for your business but I don’t believe it should be your main phone line. The reception is not always clear and it can give brides a feeling that your business is temporary. However, I know many wedding planners start this way because it may be more cost effective.

If this is the case, please do it as professionally as possible. A few new wedding planners have told me they try to only make calls when the minutes are free. You cannot and should not be a professional wedding planner if this is the only way you can accept and make calls.

Find a mobile phone service that has rates that make it easy for you to do business not only on nights and weekends but also during normal, weekday hours. And, brides often like to “text” because they can do it easily at work without anyone knowing they are working on their weddings so find a plan that includes an affordable “texting” package.

3) Determine the hours you will answer the phone

I know from personal experience that if you don’t set boundaries around when clients can talk to you, they will call expecting to speak to you day and night. This is alright if there is an emergency or right before the wedding day, but you might not otherwise want early morning or late night calls, if so, be sure you let your brides know.
