Gadgets for Wedding Planners

I blogged last about feeling technically frustrated, especially when it came to working on my computer.

Of course, I can’t live without my computer, no matter how frustrated I get. And I realized today that there are many ways that technology has recently made working as a wedding planner easier and faster than when I started my business.

Here are some great gadgets that might help you also:


I know I’m dating myself, but when I first started my business in 1998, I carried a pager, a cell phone, and a Palm Pilot. Now I have all of those functions, and more, in my BlackBerry.  iPhones and other smartphones are also popular. I like being able to check and return email, text message, Tweet, surf the web, and have my contact and calendar information all at my fingertips.

Navigation System

I used to have to check Yahoo Maps or Mapquest and print out directions before I left to meet a new client or check out a venue. It wasn’t easy following directions from a piece of paper when I drove. I now have a car with a built-in navigation system but there are many hand-held ones available that you can mount in your car. You can also get navigation information on many new smartphones.

Digital Camera and Mini HD Camcorder

I have very few photos of my first years as a planner because it wasn’t always convenient to carry a camera. Now cameras are small, easy to use, and give high resolution photos that look great on the web or in a portfolio. Pocket-sized HD camcorders, such as the Flip Mino HD, will now let you record your wedding planning work and easily share it. (Smartphones take photos and videos also but their resolution is low and will not give you the quality you need to use on your website, blog, or portfolio.)

MP3 Recorder

No more trying to remember ideas until I can get my hands on a piece of paper. I use digital recorders that I wear around my neck or clip to my clothing so I can record my creative inspirations at anytime.

Business Card Scanner

I used to network everywhere. I started to enter information from all of the business cards I collected into my computer but I couldn’t keep up. I ended up with a couple of piles of business cards beside my computer that I looked through whenever I wanted to find someone’s contact information. Now I use a card scanner that collects all of the information and puts it into the contact database on my computer.

    You gave excellent advice on how to utilize technology to our benefit as wedding planners. I had not heard of business card scanners and will be looking into that soon! I use my PalmPre (SmartPhone) for just about everything, even for verbal GPS directions. It comes in handy even when someone else is lost and asking me for directions.

    I do not have a plethora of gadgets but rather the ones you stated above, sans the business card scanner: a digital voice recorder so I can take notes throughout the day, a Flip Camera, a hardcore printer, a blazing laptop with wifi, and my PalmPre (I love it!).

    I have also been utilizing my computer in different ways with the use of different software programs. Being in the beginning stages of formulating a course, I find that screen-shot recording software comes in very handy! Thank you for your posts and I look forward to reading more fairly soon.

    What software are you using? I use Camtasia for screen capture video and have found it very easy to use.
